Vehistra covers the daily work of a fleet – from the vehicle record through deadlines, maintenance and workshop orders to permissions, audit log and multi-workstation operation.

Items marked “Planned” are not implemented yet. Everything listed without that marker is part of the application today.

Vehicle management

Master data, categories, statuses with defined business meaning, fuel and transmission – plus the complete vehicle record.

Driver management

Driver master data, a permanent driver per vehicle, a gapless assignment history with periods – and a driver record that shows all of it on one page.

License plates

Plate inventory including free plates, assignment with period and reservations with expiry warning.

Key management

Record, hand out and take back vehicle keys – always traceable who holds which key.

Registration and deregistration

Registration events kept separate from retirement, with date, plate and a full history.

Retirement instead of deletion

Retired vehicles remain intact and findable, with reason, deregistration date and final mileage.

Inspections and deadlines

Main and emissions inspections with result, next date, remaining time and graduated warning levels.

Maintenance and service intervals

Intervals by date, by mileage or by both – with their own due-date check per vehicle.

Damages

Damage reports with priority, status, affected area, cost, workshop reference plus photos and assessments.

Accidents

Accident records by type of event, with involved parties, witnesses, police station and file number.

Workshop orders

From “planned” through “waiting for parts” to “collected”: seven statuses, dates, dwell times and cost.

Insurance

Insurance contracts per vehicle with type, term and contact – including expiry.

Mileage

Record readings with their source and carry them forward – the basis for service intervals and reporting.

In-app notices

Upcoming deadlines and notable events appear by category and severity directly inside the application.

PDF reports

Vehicle record, accident report, workshop report and lists as true vector PDFs in DIN A4.

Documents

Registration papers, invoices, assessments and photos by category – centrally on your own server.

Spreadsheet export

Ten lists as Excel, CSV or PDF – for accounting, leasing partners or your own analysis.

Data import

Take over existing vehicle and driver lists from spreadsheets before the first working day.

Complete history

Driver changes, plates, inspections, maintenance, workshop, accidents and retirement – as a timeline per vehicle.

Global search

Find vehicles, drivers and plates from anywhere in the application.

Operations

Solo or network

The installer asks for the operating mode: everything on one computer – without a database server there, the database is a file – or a shared database in the company network. Switching later works without data loss.

Multiple workstations

All workstations work on the same database at the same time. No local copies, no synchronisation.

Protection against overwriting

If two people edit the same record, the second save overwrites nothing – it offers a comparison instead.

Users, roles and permissions

Seven prepared roles from staff to management, freely extensible – enforced in the services, not only in the interface.

Audit log

Records who changed what and when. Neither visible nor modifiable for regular staff.

Server setup

A wizard guides through database, folders, shares and the first administrator account in twelve steps.

Server diagnostics

A dedicated program checks connection, database, folders and permissions and names the cause in plain words.

Updates from the network

New versions live on the server. Workstations report them at startup, verify the package checksum and only then install it.

Backup

Scheduled backups in network mode, a verified file copy in solo mode, a backup before every schema change – and, if you want it, a cleanup of old ones.

Settings and catalogs

Create, rename and deactivate vehicle categories, damage categories and status values yourself – with color, order and operational meaning, plus warning levels and company data.

The source code is open, the guides are complete, the first public version is in preparation.
