Reports and export

PDF reports

Vehistra produces true vector PDFs in DIN A4 – not images inside a PDF. They stay sharp when zoomed and can be searched.

| Report | Content | | --------------- | -------------------------------------------------- | | Vehicle record | Everything about one vehicle on paper | | Accident report | Event, involved parties, witnesses, police details | | Workshop report | Order, work done, dates and cost | | List report | Inventories and evaluations as a table |

Printing is a permission of its own – see Users and permissions.

Spreadsheet export

Ten lists can be exported – vehicles, drivers, roadworthiness tests, maintenance, damages, accidents, workshop orders, plates, retired vehicles and driver assignments.

You pick the format before the export:

| Format | What for | | ---------------- | ---------------------------------------------- | | Excel (XLSX) | for further calculation – the default | | CSV | for other programs, semicolon as the separator | | PDF | for printing and filing, landscape |

The driver assignments export lists the full history of permanent drivers per vehicle: from, to – “ongoing” while the assignment is open –, assigned by and note.

Exporting requires the export data permission; without it the buttons stay inactive. See Users and permissions.

Data import

Existing vehicle and driver lists can be imported before the first working day begins.

Notes on the file:

  • Use UTF-8 encoding, otherwise special characters appear wrong.
  • A header row with column names makes mapping easier.
  • Keep date formats consistent.
  • Import large data sets in two passes: a small selection first, check the result, then the rest.

A backup before the first import is worth the minute it takes.
